Your history brought in, and the proof made on your last period

Switching tools midstream is a worry: years of balances to carry over, and nothing to prove the new tool gets it right. Labelmate brings in your past statements, rebuilds your last statement period and compares it with yours, artist by artist. We do it with you, with no risk: you pay nothing until it all matches to the cent.

Home on the made-up label Example Records: the period's figures, the checks before issuing, then the Onboarding checklist, 4 of 7 done.

On Home

An onboarding checklist, until everything is done

While something is left to do before your first statements, Home shows the Onboarding checklist. Each line opens the screen where it gets done, and the list goes away once everything is.

The mailbox and the contracts

The label's mailbox connected, then the contracts found in it, and how many are already reviewed.

The distributors

How many distributor formats are set up, built with you from your real reports.

Balances and the last period

Your past statements and balances loaded, then your last period rebuilt and compared.

The country and the date

The label's country and the month your next statements are due, chosen in Settings.

Your history

Your past statements, brought in as they are

In the Archive, Past statements and balances reads your spreadsheet of what each artist was still owed and what they received before Labelmate.

  1. 1

    Drop the spreadsheet

One row per artist and period. For a plain opening balance, the artist, the period and what is still to recoup are enough.

  2. 2

    Check what was understood

Labelmate shows each statement it will create, and flags a row it could not read or an artist with no contract.

  3. 3

    Import

Each row becomes a frozen statement without a PDF, marked Imported in the Archive. Balances carry on from there, and the history keeps who imported them.

The proof

Your last period, rebuilt and compared to the cent

In Statements, Reconciliation rebuilds a period from the same reports and the same contracts, issuing nothing, and compares it with the statements you sent.

  1. 1

    Your statements for the period

A spreadsheet with one row per artist: receipts, rate, royalties, recouped, still to recoup, amount paid. CSV or Excel, with headings in English or French.

  2. 2

    Artist by artist

For every figure, Labelmate's, yours, and the difference. The summary says how many artists match to the cent, how many differences are explained, how many are left to look at.

  3. 3

A likely cause for each difference

A report missing on one side, a rate that is not the contract's, a cost recouped on one side only, rounding, a currency converted at another rate, with the contract or the reports to open. Otherwise, the difference is left to look at.

  4. 4

    The report, then you pay

Open the PDF report makes it a document to keep, and Mark the reconciliation as done writes it into the history. It is the proof you pay us on.

With us

What we do during onboarding

We build your formats

Each distributor has its own report format. We set up each of yours from your own files, before your first statement.

We bring in your history

We load your artists' balances and past statements with you, then rebuild your last statement period.

You decide

You approve what the AI read, answer our questions about a contract or a difference, and choose which version is right.

The limits

Good to know

One format per distributor

Labelmate never adopts a format on its own: the first time it meets a distributor's report, you confirm which column holds what, and when the file states its total, the lines must add up to it before anything is saved. A format taught with a mistake can be forgotten and taught again.

A spreadsheet in the right shape

The reconciliation and the past statements import read a spreadsheet with one row per artist: if yours needs rearranging, we do it with you.

Nothing is issued

The reconciliation creates no statement and sends nothing: it compares, that's all.

Questions

How long does it take?

About two weeks from receiving your files, for a label paying up to 50 artists. More artists or distributors, a little longer.

What if it doesn't all match?

Every difference gets a likely cause, and you decide which version is right. If Labelmate isn't for you, you pay nothing.

Do we have to bring in every year?

No. For the balances to be right, each artist's amount still to recoup at the end of your last period is enough; your past statements can follow, if you want them in the Archive.

See it on your own figures
