The current half-year ends December 31. Onboarding takes about two weeks. 10 founding spots left. See how onboarding works

The Labelmate app: the To review list and a contract read by the AI, with the passage it quotes.

Today

Twice a year, statements take over your weekends.

  • The spreadsheet marathon

Every six months you download each distributor's report, paste it into last period's spreadsheet, fix the formulas that broke, and check the totals again before you send anything.

  • The clause nobody remembers

The rate, the advance, the costs you can recoup: it's all in a contract signed years ago, somewhere in an inbox or a shared folder. So you go looking for it, one more time.

  • The artist who doubts the numbers

An artist asks where a figure comes from. If the answer sits in a spreadsheet only one person understands, that conversation gets awkward fast.

Founding labels

Half price for year one, for the first 10 labels.

Think about what statements cost you today: your evenings, or a bookkeeper's hours, twice a year. An artist who stops trusting the numbers, or an audit you can't answer, costs a lot more.

  • 50% off year one, 25% off year two
  • Onboarding fee waived
  • Nothing to pay until your last statements match to the cent
  • If your next statements aren't out, to the cent, by the date we agree, we refund the year (conditions on the Pricing page)

Security

Your data stays on your computers.

Your contracts, emails and figures are kept on the label's computers, encrypted. If you use several computers, the copies our servers pass between them are sealed, so we can't read them, and they're stored in the European Union. If you turn the AI on, the text it reads goes to Claude, Anthropic's AI, without IBANs, card or social security numbers.

Labelmate is run from Belgium, so the GDPR applies to us, and we give its protections to every label, wherever it is. We never sell your data or use it for targeted advertising.

How it starts

Your next statements, done with you

About two weeks, once we have your files.

  1. 1

    A 30-minute call

You show us how you do statements today. We look for your contracts in your own inbox, live, and we agree the plan and the dates together.

  2. 2

    Your mailbox and your contracts

We connect the label's mailbox with you, set up each distributor's format from your real reports, and go through every contract together: the artist, the rate, the advance, the signing date.

  3. 3

    Your last period, rebuilt

We rebuild your last statements in Labelmate and compare them, artist by artist, with the ones you sent. Every difference is explained in a PDF report.

  4. 4

You pay, and your next statements go out

When it all matches, or you accept every difference, you pay the first year or the first month. If not, you pay nothing. Your next statements then go out from Labelmate, one PDF per artist.

What Labelmate does

Statements worthy of your label.

Once onboarding is done, this is what you work with, shown here on our sample label.

Statements your artists can check

One PDF per artist, line by line, and every figure traces back to the report it came from, so the artist, or their accountant, can follow it. Once issued, the period is locked: its figures never change.

  • Archived PDF/A, with its fingerprint
  • The calculation's data attached to the PDF
  • Twice a year, as record contracts usually ask
A royalty statement as a PDF: the summary, the amount payable, the line-by-line detail.

A private page for every artist

Each artist gets their own page: their statements, where their advance stands, and a box to ask you questions. It's encrypted, and the key is in the link, so our servers read nothing.

  • The link leaves from your own mailbox
  • Their questions land in your Requests
  • Taken down in one click
A contract's page: where the advance stands, then the published artist portal, with its link and the Update the page, Copy the link and Take the page down buttons.

The math, to the cent

Rates, advances, costs to recoup, balances carried over: a tested engine does the math, never the AI. Every figure points back to the report line it came from.

  • Reports in CSV, Excel or ZIP
  • Control totals and duplicates caught
  • A late invoice counts on the next statement
The Statements page: payable, royalties, recouped, then the checks and the reports included.

The AI reads, you approve

If you turn it on, the AI reads your contracts and invoices and suggests the rate, the advance, the amount. Each suggestion shows the sentence it came from, and nothing is saved until you accept it.

  • The AI proposes, you decide
  • IBANs, card and social security numbers masked before reading
  • Turn it off at any time
A contract read by the AI: the passage it quotes, then the artist, rate, advance and signing date it proposes.

It finds everything in your mailbox

Connect the label's mailbox: Labelmate spots the distributor reports in it and, if the AI is on, the contracts and invoices too, then offers to file them. No more digging through attachments.

  • Read-only: nothing is moved or deleted
  • Any IMAP mailbox, Gmail included
  • Every suggestion keeps the email it came from
The To review list: a contract, a report, an invoice, a request, a key date.

Who makes Labelmate

Built by Tom and Edouard, the team behind vvault, used by 8,100+ producers and artists.

vvault figures as of September 18, 2026, rounded down.

Your contracts

Twice a year: your contracts set the dates.

Record contracts usually call for a royalty statement every six months, sent within 60 to 90 days of June 30 and December 31. And for contracts under California law, anyone owed royalties on recordings can have the books of whoever pays them audited, at most once a year.

Questions? We've got answers.

Do my emails and contracts leave my computer?

No. Labelmate reads the label's mailbox from your computer and keeps everything there, encrypted. If you work on several computers, our servers pass sealed copies between them that we can't read; an artist page you publish is sealed the same way. If you turn the AI on, the text it reads goes to Claude, Anthropic's AI, without IBANs, card or social security numbers. During onboarding, our team only sees the files you choose to send us.

Do I have to connect my mailbox?

No. You can drop your distributors' reports into Labelmate as they arrive, and add each contract by hand. The mailbox only saves you the searching.

What if the AI gets it wrong?

It suggests, you decide. Every value is checked against the document's own text, each suggestion shows the sentence it came from, and nothing is saved until someone at the label accepts it. The math never goes through the AI.

Which distributors work with it?

Any distributor whose report you can download as CSV, Excel or ZIP. The first time Labelmate sees a distributor's report, you show it once which column holds what, and it reads that distributor's next reports by itself. During onboarding, we do it with you, from your real reports.

Can my bookkeeper or accountant have access?

Yes. They install Labelmate on their own computer and join the label with twelve words you read to them from yours. Give them read-only access: they see everything and can change nothing.

Does Labelmate pay the artists?

No. Labelmate calculates and documents what is owed. The payment leaves from your bank, as it does today.

Which computers does it run on?

Mac and Windows. Several people at the label can work in it, each on their own computer, with the role you give them.

How much does it cost?

Four plans by how many artists you pay, billed yearly or monthly, AI included, plus an onboarding fee: it's all on the Pricing page. The first 10 labels get 50% off year one and the onboarding fee waived. And you pay nothing until your last statements, rebuilt with us, match yours to the cent.

What if we want to leave?

Your data is yours, and it's already on your computers. At any time, the Export everything button in Settings copies it all into a folder: the contracts and reports as they arrived, every statement as a PDF, your figures as spreadsheet files (CSV) and the full history of changes. Nothing is held back on our side.

Who are you?

Tom and Edouard, the team behind vvault, the platform thousands of producers and artists use to share their music. Labelmate is a separate product, built only for labels.
